Lean Thinking Exported to Other Organisations

Six years after implementing lean thinking St Andrews culture had changed and people were using lean tools automatically. The following significant gains were reported:
    – Estate personnel could check work requests from any University computer rather than travelling back to base.
    – Student status letters that used to take up to ten days to be issued were provided immediately.
    – University library books were re-shelved within four hours of being returned instead of up to 210 hours
    – Job vacancies were advertised within two weeks of notification saving of £150,000 annually.
    – Research leave applications were refined removing the need for a senior committee to meet three times a year and produce over 6,000 sheets of paper.

The St Andrews lean team was so successful that it began to export its expertise to other organisations.

Baldrige Criteria for Performance Excellence  pays off for manufacturer

The foundation for success at Milliken & Company, a US manufacturer, was built on the Baldrige Criteria for Performance Excellence. Milliken began to assess itself internally using Baldrige standards until the Baldrige Criteria became completely ingrained in the way employees thought and the way they worked. Internal Baldrige competitions with five different categories were set up with businesses and support areas competing. The application process used was exactly the same as the Baldrige process, with trained judges and site visits throughout the company. Adoption of the Baldrige criteria also led to global study missions for industry best practices. The company won the Baldrige Award in 1989 and got so much out of it that it applied and eventually won the European quality award, the Canadian quality prize, and the British quality award.

Baldrige Criteria for Performance Excellence found to be globally applicable and executable

After winning Malcolm Baldrige National Quality Award, Caterpillar Financial Services Corporation (CFSC), a US provider of retail and wholesale financing solutions, embedded the Baldrige Criteria in its 40+offices worldwide. CFSC created a tool, the Business Excellence Assessment (BEA), for assessing each location/department in comparison to the Criteria. Between 2003 and 2006 the BEA approach was cascaded throughout CFSC. Strategic planning processes, strategic goal councils, and Business Risk Assessment cascaded from corporate strategy through to individual employee SMART goals. Balanced scorecards were defined and managed quantitatively, and the data served as the basis of decision making. A global process was implemented for employee recruitment, development, and retention. CFSC found that the Baldrige Criteria were globally applicable and executable regardless of language and culture.

Featured Case Study: Sustainable Business – sustainability as a business model

To become a wood fiber innovator Domtar, a Canadian headquartered paper products company, adopted Sustainability as its business model. Domtar set up a corporate sustainability committee with the chair rotated among top managers, and adopted a measurement approach designed to avoid sub-optimising the system. An extensive system of measures was implemented to track sustainability performance and signed on to by each facility. One example, Dashboards tracked 35 key sustainability performance indicators (KPIs). Management teams in each facility developed their own unique sustainability agendas to meet company goals. Domtar’s sustainable fibre innovation was seen by the US government as an example of advanced manufacturing and gave the company a powerful edge in attracting younger science and technology-savvy professionals.

Best Practice Report – Flexible Work Arrangements
People are increasingly looking for a work environment that offers them flexibility. Finding a good balance between work and other life commitments-such as family responsibilities, studies or outside interests-enables employees to flourish inside and away from the workplace. For employers, flexible work arrangements provide greater freedom in terms of business operating hours; importantly, they also increase retention of experienced staff who might otherwise have been lost to the organisation.
